Location Data

Our mobile application accesses and processes the device’s location data in order to deliver core human-resources features. The following describes exactly what we collect, when we collect it, why, where it is stored, and how you can control it.

1. What We Collect

We collect the precise (GPS) and approximate (network/Wi-Fi based) geographic location of the device on which the app is installed. This may include latitude, longitude, accuracy radius, and the timestamp of the reading.

2. When We Collect It (Foreground and Background)

We collect location both:

  1. In the foreground— while the app is open and visible on the screen (for example, the moment you tap “Check In” or “Check Out”), and
  2. In the background— while the app is closed, minimized, or running in the background, in order to support the geofencing feature described below.

When the app accesses location in the background, the operating system will display a persistent notification or status indicator informing you that location is being used. We only access background location after you have explicitly granted the “Allow all the time” permission on your device.

3. Why We Collect It (Purpose)

Location data is used solely for the following human-resources purposes:

  1. Attendance check-in and check-out: To verify that an employee is physically present at an authorized work site at the time of clocking in or out, and to prevent attendance fraud.
  2. Geofencing for HR features: To automatically detect when an employee enters or leaves a defined work zone (geofence) so that attendance, shift status, and related HR records can be updated accordingly.

We do not use your location for advertising, profiling outside of the HR context, or any purpose unrelated to the features described above.

4. Where the Data Is Stored

Location data is transmitted from your device to our secure servers and stored there as part of your attendance and HR records, in accordance with the retention period required by your employer and applicable labor regulations. Data in transit is protected using industry-standard encryption (HTTPS/TLS), and data at rest is protected using appropriate technical and organizational safeguards. Location data is not stored only on the device; it is uploaded to our servers so it can power attendance and geofencing reports for the employer.

5. Sharing With Third Parties

We do not sell, rent, or share your location data with any third party for their own purposes. Location data is accessible only to (a) authorized personnel of your employer for legitimate HR purposes, and (b) our own authorized staff strictly for operating, maintaining, and supporting the service. We do not share location data with advertisers, data brokers, or analytics providers.

6. Your Controls — Revoking Permission and Requesting Deletion

You remain in control of your location data at all times:

  1. Revoke permission at any time: You can disable foreground and/or background location access for the app at any time from your device settings.
    • Android: Settings → Apps → [App Name] → Permissions → Location → select “Don’t allow,” “Allow only while using the app,” or “Ask every time.”
    • iOS: Settings → Privacy & Security → Location Services → [App Name] → select “Never,” “Ask Next Time,” “While Using the App,” or “Always.”
  2. Request deletion of your data: You may request deletion of the location data we hold about you by contacting us atinfo@pas-sa.com. We will respond within a reasonable period and delete the data unless we are required to retain it to comply with a legal, accounting, or contractual obligation (for example, statutory retention of attendance records by your employer).

Please note that disabling location permissions may prevent some attendance and geofencing features from functioning correctly.

You have certain rights and choices concerning your personal information:

  1. Access: You can access and review your personal information by contacting us.
  2. Opt-Out: You can opt out of receiving marketing communications from us.
  3. Cookies: You can manage cookies through your browser settings.
  4. Location: You can revoke location permission and request deletion of location data as described in the “Location Data” section above.

Security

We take reasonable measures to protect your information, but no data transmission over the internet is completely secure. We cannot guarantee the security of your information.
